Position Summary

Teen Health Arkansas (THAR) is seeking an organized and proactive Office Manager to support the daily administrative and operational functions of the organization. This role ensures that office operations run smoothly, staff have the resources they need to succeed, and systems supporting programs, partnerships, and fundraising remain organized and efficient.

The Office Manager serves as the administrative backbone of the organization, coordinating office logistics, supporting staff and leadership, managing records and systems, and assisting with basic financial and operational processes.

Office managers play a key role in keeping organizations running efficiently by overseeing administrative functions, coordinating staff needs, and ensuring office systems and procedures operate smoothly.

Key Responsibilities

Office Administration
  • Manage daily office operations and administrative systems
  • Serve as the first point of contact for phone calls, visitors, and partner inquiries
  • Maintain filing systems, digital records, and organizational documentation
  • Order and maintain office supplies, equipment, and materials
  • Coordinate office maintenance, vendors, and service providers
Staff & Leadership Support
  • Provide administrative support to leadership and program staff
  • Assist with meeting scheduling, logistics, and preparation of materials
  • Track action items and follow-ups from staff meetings
  • Coordinate internal communications and updates
Financial & Operations Support
  • Process invoices, receipts, and basic expense tracking
  • Assist with grant documentation and reporting materials
  • Support payroll and timesheet documentation processes
  • Maintain internal financial records and documentation
Human Resources Support
  • Assist with onboarding new staff (workstation setup, orientation materials)
  • Maintain employee records and administrative HR files
  • Support staff training logistics and documentation
Events & Program Support
  • Assist with logistics for meetings, trainings, and community events
  • Coordinate travel arrangements and staff schedules when needed
  • Support the preparation of materials for workshops, trainings, and conferences
Other Duties as Assigned
  • Support additional program activities and organizational events as requested
  • Provide general program support during non-training periods, including resource development, partner follow-up, and event assistance

Qualifications

  • 3+ years of administrative or office management experience preferred
  • Experience in nonprofit or community-based organizations is a plus
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, and basic financial tracking systems
  • Ability to manage multiple priorities and maintain confidentiality
Preferred Skills
  • Experience supporting grants or development activities
  • Familiarity with nonprofit operations and compliance
  • Ability to work independently in a fast-paced, mission-driven environment
  • Strong attention to detail and problem-solving skills

Compensation and Benefits
  • $45,000-$55,000 annual salary (commensurate with experience)

Process

We will have a rolling application process, but applications received before May 30, 2026, will have priority. The position may be filled prior to that date.
